Overview

Panoreview (“we”, “us”, “our”) operates the panoreview.com website and app.panoreview.com application. This policy explains how we collect, use, and protect your personal information.

Information We Collect

Account information: Name, email address, and password when you create an account. Team name and plan selection.

Feedback data: Responses submitted through Quick Feedback and review cycles, including text responses and ratings. AI-generated synthesis results (themes, strengths, growth areas).

Usage data: Pages visited, features used, timestamps, and browser/device information. We use this to improve the product.

Payment information: Billing details are processed by our payment provider (Stripe). We do not store credit card numbers.

How We Use Your Data

  • Providing and maintaining the Panoreview service
  • Generating AI synthesis from feedback responses
  • Sending notifications (email and Slack) about feedback activity
  • Improving the product based on aggregate usage patterns
  • Responding to support requests

Anonymity Protections

Individual feedback responses are never displayed to anyone. Once the anonymity threshold is met, an AI synthesis is generated — only this synthesis (themes, strengths, growth areas, and cited excerpts) is shown to the feedback subject. Author identification is stored for threshold enforcement only. Admins can see which team members have responded to a feedback request but cannot see the content of individual responses.

Data Storage and Security

  • All data is encrypted in transit (TLS) and at rest
  • Application hosted on Fly.io with isolated compute instances
  • Database hosted on Crunchy Bridge (PostgreSQL) with row-level security
  • Tenant data is isolated at the database level — one team cannot access another’s data
  • Regular automated backups with point-in-time recovery

Data Retention

  • Active accounts: data retained for the life of the account
  • Deleted accounts: personal data removed within 30 days, anonymized feedback retained for other team members’ synthesis results
  • Cancelled subscriptions: data retained for 90 days before deletion, with option to export

Your Rights

You can:

  • Access your personal data by contacting support
  • Export your feedback and synthesis data (PDF export available in-app)
  • Request deletion of your account and associated personal data
  • Opt out of marketing communications

Third-Party Services

We use the following third-party services:

  • Fly.io — Application hosting
  • Crunchy Bridge — Database hosting
  • Cloudflare — CDN, DNS, and object storage (R2)
  • Upstash — Redis caching and queue notifications
  • Resend — Transactional email
  • Stripe — Payment processing
  • OpenRouter — AI synthesis routing (feedback text is sent to DeepSeek for processing; we do not use your data to train models)

Cookies

Panoreview uses session cookies for authentication. We do not use tracking cookies or third-party advertising cookies. Our website analytics (Netlify Analytics) are server-side and do not use cookies.

Changes to This Policy

We may update this policy from time to time. We will notify active users via email of any material changes. The “Last updated” date at the top of this page reflects the most recent revision.
